Who is responsible for your information
Vandyvah Shipping & Marine Services Limited, 272 Pottruff Road, Paris, Ontario N3L 0N6, Canada, Plot 5086, Orozo Close, Beechwood Estate, Malete Alafia, Ibeju-Lekki, Lagos State, Nigeria and Suite C1, Plot 759, Kubwa Extension, F15, Abuja, Nigeria, is the controller of personal information collected through vandyvahshipping.com. What we collect
We collect what you choose to send us, in the four ways below, and a short record of how each visit reached the website.
Enquiry and contact forms
- your name
- your work email address
- your company and job title, if you provide them
- your country and phone number, if you provide them
- the requirement you selected and any message you write
- the page you submitted the form from
- how you heard about us, if you choose to say
- how your visits reached the website, as described under “How visitors find this website”
- your confirmation that we may contact you about the enquiry
Delay and demurrage calculator
The calculator runs entirely in your browser. Nothing is transmitted to us while you use it. If — and only if — you ask us to email you a report, we receive the figures you entered along with the contact details you supply, so that we can prepare the report and follow up.
Partner applications
If you apply to partner with us, we receive the organisational and contact information in the application form, including capability, equipment, safety, certification and reference details you choose to provide.
Checklist and weekly note
If you ask for our free checklist, we receive your first name, either your email address or your WhatsApp number, your agreement to be contacted, the page you signed up on and how your visit reached the website. By email, we send you the checklist, a welcome email and our weekly note. By WhatsApp, we send you the checklist and may message you about it and your shipments. Every weekly note has an unsubscribe link; you can also reply "unsubscribe" to any of our emails, or "stop" on WhatsApp.
How visitors find this website
When you visit, the website records where the visit came from (for example a search engine, an AI assistant, a social media post or an email from us), the page you arrived on, the country, region and city of your internet connection, your type of device, browser and language, and whether you tap our WhatsApp, phone or email links. Your IP address is used for the moment it takes to find the country and city, and is not stored. If you send an enquiry, the record of your visits and the pages you read during the visit are saved with it. We use this to learn which of our posts, pages and searches bring enquiries and customers, so that we can do more of what helps clients find us.
What we do not collect
- We do not use advertising cookies, tracking pixels or third-party analytics on this website.
- We do not build advertising profiles of visitors, and visit records are seen only by Vandyvah staff.
- We do not store your IP address.
- We do not sell, rent or trade personal information.
- We do not ask for payment card details, bank details or government identification through this website.
Cookies and similar technologies
The public pages of this website set no cookies. Your browser keeps a small note in this website's own storage of how you first and most recently came to the site and how many times you have visited, for up to 90 days, so that an enquiry you send later can be credited to the post or search that brought you. It holds a random number, not your name, and is not shared with anyone. You can remove it at any time by clearing this site's data in your browser. If your browser sends a Global Privacy Control or Do Not Track signal, nothing is kept. A session cookie is set only when an authorised member of Vandyvah staff signs in to the internal Command Center; that cookie is strictly necessary for authentication and is not used for tracking.
Why we use your information
- to respond to the enquiry, request or application you submitted
- to prepare and send a report you asked for
- to assess a partner application against our review criteria
- to keep an internal record of the enquiry so that follow-up is not lost
- to learn which of our posts, pages and searches bring enquiries and customers
- to send the checklist and the weekly note to people who asked for them
- to meet our own legal and record-keeping obligations
Our lawful basis is your consent where you gave it, our legitimate interest in responding to a business enquiry addressed to us, and, where relevant, steps taken at your request before entering a contract.
Who can see your information
- Authorised Vandyvah personnel with an active account in our internal Command Center.
- Our hosting and database provider, which stores the data on our behalf under contract.
- Our transactional email provider, where an email is sent to you or to us.
- Anyone we are legally required to disclose to.
Access to stored enquiries is restricted at the database level. The public website can submit an enquiry but cannot read, change or delete any stored record.
International transfers
Our infrastructure providers may process data outside Nigeria. Where that happens, we rely on the provider's contractual safeguards for international transfers.
How long we keep it
- Enquiries and calculator report requests: up to 24 months from the last contact, unless an ongoing commercial relationship requires longer.
- Records of visits that did not lead to an enquiry: 13 months.
- Checklist and weekly note sign-ups: until you ask us to delete them. If you unsubscribe, your email address stays on our opt-out list so that we do not write to you again.
- Partner applications: up to 24 months from the decision, so we can revisit capability if a requirement arises.
- Records we are legally required to retain: for the period the law requires.
Your rights
Subject to applicable law, you may ask us to:
- confirm whether we hold personal information about you, and give you a copy
- correct information that is inaccurate or incomplete
- delete information where we no longer have a reason to keep it
- restrict or object to how we use it
- withdraw consent you previously gave, without affecting earlier processing
Write to operations@vandyvahshipping.com and we will respond within a reasonable period. Nigerian residents may also complain to the Nigeria Data Protection Commission.
Security
- All traffic to this website is encrypted in transit.
- Stored records are protected by row-level database policies; anonymous visitors have insert-only access and no read access.
- Internal access requires an authenticated account that a Vandyvah administrator has explicitly activated.
- Form submissions are rate-limited and validated on the server.
No system is perfectly secure. If we become aware of a breach affecting your information, we will act in line with applicable Nigerian data protection requirements.
Changes to this notice
We will update this page if our practices change, and will change the review date at the top.
